   Operational Management Process of Activities

A weekly meeting is held on every Saturday in each district which is headed by the District Manager and attended by Chairperson of the community based organization which is known as Socio Economic Resource Centre and the Managers of Micro Finance, Early Learning Centers, Social Development and Vocational Training.  At these meetings activities during the week are reviewed and compared with the Activity Plan and the budget.  All payments are discussed and approved at these meetings and the minutes of the meeting together with the approved payment vouchers are sent to the Programme Director.  Payment vouchers are passed on to the Finance Director with the recommendation of the Programme Director. 

At the headquarters in Chilaw a weekly meeting of the board of directors is held on every Monday which is preside by the Chairman of the Federation.  Director Programmes, Director Administration, Director Micro Finance, Director Administration, Director Early Learning Centers, Director Commerce and the Secretary of the Federation take part in this meeting.  All operational matters are discussed extensively at this meeting and directives are issued to district level managers for implementation.  A copy of the minutes of this meeting is sent to the auditors too. 

A progress Review Meeting is held every quarter and all the directors, district level managers and leaders of all affiliated civil society organization including Chairpersons, do participate at this meeting preside by the Chairman of the Federation.  Normally this is a residential meeting of at least two days where the representatives of the funding organizations also participate to make it an opportunity to examine, monitor and evaluate the compliance with activity plans and budgets and question deviations, if any.

The Federation and all its associated organizations and companies (please see list below) are audited by P.E. Mathew & Company, a reputed firm of Chartered Accountants in Sri Lanka established in 1964.  The scope of auditing by this company is not limited to the traditional financial audit and instead covers a wider scope involving management action.  The audit of Federation is no more limited to an annual event.  It is an on going continuous process with representatives of the audit firm performing internal auditing right throughout the year.
